JOB PURPOSE:

To identify, evaluate and select sourcing vendors for Shawarmer, in addition to purchasing the needed materials and goods in order to ensure compliance with procurement department standards of price, quality and reliability, in adherence to Procurement & Planning policies and procedures

KEY ACCOUNTABILITIES:

Policies, Processes and Procedures:

Follow all relevant Procurement & Planning department policies, processes, standard operating procedures and instructions so that work is carried out in a controlled and consistent manner Contribute to the identification of opportunities for continuous improvement of systems, processes and practices taking into account leading practices, improvement of business processes, cost reduction and productivity improvement

Promote the implementation and adherence to policies, processes and operating procedures to others within Shawarmer.

Procurement Management

§ Support the development of the annual procurement plan and track its implementation.

§ Prepare the list of preferred suppliers and continuously monitor the suppliers’ performance and commitment to contractual terms and agreements

§ Research and identify suppliers, negotiate prices, and support in the preparation of contractual agreements and prepare technical and financial analysis of multiple vendors, and submit reports to the Procurement supervisor on findings.

§ Receive purchase requests from Shawarmer’s different function, and prioritise these requests based on their importance and criticality

§ Perform the required vendor sourcing activities, including the identification, evaluation and selection of vendors and purchase the required materials according to received purchase request

§ Issue purchase orders to the selected vendors based on the received and approved purchase requests of Shawarmer’s different functions

§ Administer and maintain an effective vendor database to purchase various items, equipment, materials, supplies and services as per Shawarmer’s needs

§ Coordinate with the Warehouse and logistics function to assess supplier’s products and ensure they comply to specifications and meet the user’s requirements and quality standards and follow up with suppliers on any defected items for refund or return in coordination with the Logistics and Warehouse Management Department

Participate and provide support in the tendering process at Shawarmer, involving the analysis and evaluation of supplier bids, tenders, proposals, or quotations

Vendor Management:

§ Participate in addressing and resolving disputes with suppliers in terms of delivery timelines, quantity and quality of supplies, and pricing issues

§ Maintain all required business documentation, pricing protocols, and contingency plans with each supplier as per Shawarmer’s standards, policies and procedures

§ Monitor, evaluate and report vendor performance, in order to ensure delivering the best value and quality to Shawarmer.

§ Follow-up on the status of purchase orders with suppliers to ensure timely delivery; and communicate status of orders to user departments

§ Coordinate with the finance department to ensure the timely payment to suppliers and maintain good relation with the suppliers to manage the payment delays

Select, and manage ongoing relationships with major suppliers and vendors, to ensure that the organization receives satisfactory standards of services in a continuous manner

Education and Experience:

Education:

§ A bachelor’s degree in Supply Chain Management, Industrial Engineering or equivalent is required

Experience:

§ 0 to 2 years of experience in a Procurement related position 

Job related Skills:

§ Intermediate Proficiency in English Language

§ Intermediate Proficiency in Ms Office
