Job Description

Reports to: Senior Manager, IPSO Operations and Services  

Purpose:  Collaborate with the senior manager in promoting integration among the AUC student body. Assist in assessing and improving the performances of the cultural programs. Assist in planning, organizing and coordinating the work of student services unit. Assist in managing the international student health plan, liaising with different departments and executing office events.

 

Principal Accountabilities:  

  • Assists with the planning and implementation of the mandatory international student orientation, focusing on orienting students to AUC and life in Cairo
  • Supports the different international student categories including CASA fellows, ALIN students, graduate students, UG students and non-degree students, with a focus on non-degree students
  • Follows up with international students who wish to join student activities following the engagement fair and recruitment week
  • Coordinates the logistical delivery of the post-nomination orientation, pre-departure orientation and parents’ orientation
  • Provides logistical support to students in cultural programs’ trips throughout the preparation and execution phases, soliciting interest in certain venues, handling trip requests with the travel office, announce the trip, prepare logistics, arrange chaperones, and assess the trips
  • Solicits students’ feedback
  • Supports cultural programming by reserving halls and determining ACTS needs
  • Manages the administration of the international health insurance program
  • including brochure revision and distribution, and student information system data collection for distribution of cards
  • Manages the logistics of the International day event including reservation of venue and booths
  • schedules rehearsals and costume check and manages the stage during the event and Coordinates with selected vendor(s)
  • Liaises with offices of environmental safety, security, and food services to ensure compliance with agreed procedures
  • Non-AUC Housing Assistance
  • Develop materials to help students searching for safe, affordable non-AUC housing including maps and regular updates for non-AUC Campus Housing options
  • Participate in ‘on call’ rotation for 24/7 emergency line service
  • Attend to emergency situations in collaboration with the office of security and AUC Clinic
  • Manage and evaluate the international student orientation follow-up session and study abroad re-entry session held at remote locations
  • Assist with the training program and tasks of the committee supporting the international student orientation program, events, and trips
  • Oversees the creation, update and posting/ dissemination of student publications including but not limited to the international student guide
  • Office Administration
  • Assist with determining office equipment and supply needs and budget accordingly, and track and monitor inventory
  • Clerical Support
  • Perform various secretarial tasks such as drafting meeting minutes/memos/letters, receive/send faxes, respond to telephone calls and distribute office mail
  • Manages the process of the end of semester transcripts
  • Bank Letters
  • Drafts bank letters for international students, solicits signatures and maintains lists and filing for these letters.
  • Student Residency Cycle:
  • Executes the student residency cycle and ensures all students are enabled to complete their student residency application by coordinating the required logistics. Coordinating transportation for international students to the relevant governmental agency
  • Oversee and manage the Work-Study program for the office and work closely with the Career Centre for all work study students assigned to Student life area (20 -30 students per semester)
  • Oversee the process of work-study students’ payment
  • Performs any other related duties as assigned.

 

Requirements:

Minimum Education Requirement

  •  University degree

Experience:

  • At least seven years of previous experience including two years in a university setting, preferably providing services to students
  • Experience working with diverse nationalities and cultures

Skills:

  • Excellent English communication skills
  • The following specific competencies: data gathering, analysis and organization, problem solving, professionalism, task management and teamwork
  • Excellent interpersonal and customer service skills
  • Proficiency with Microsoft Office programs
