Job Description
Main Responsibilities
HR Administration
- Works with the government relations team to assist Saudi and Bahrain based associates with residency permits, visas and GOSI registration. It includes new hires and existing renewals.
- Assists associates with HR inquiries, concerns & needs.
- In charge of medical insurance additions/deletions for associates and their families along with medical claims
- Follows up on flights and accommodation for new hires
- Deals with correspondence, complaints and queries.
- Manages all documentation and files for associates and contingents as per audit requirements
- Organizes conferences and events when needed
- Serves as a HR helpdesk to both managers and associates by providing policy, systems and procedures interpretation and queries
- Manages HR systems changes and updates as well working on multiple reports
- Manages the company telecommunication policy and mobile phone administration.
- Maintains all documentation related to HR benefit requests, updates and exits for associates in relation to payroll along with supporting the payroll process.
- Supporting HR team in offboarding and offboarding cycles
- Preparing contracts and HR letters such as employment letters and others
- Supporting various HR tasks when needed.
Office Administration
- Deals with all external contingent providers and external HR service providers, working with Procurement team to finalize supplier related contracts based on the company policy
- Working with vendors and the OnBase system
- Deals with correspondence, complaint management and queries
- Supervises and monitors the work of secretarial, clerical and administrative associates
- Liaises with staff, suppliers and clients
- Performs other duties as assigned
Required Qualifications
- Diploma degree required
- Minimum of 1-3 years of experience in an HR and Office Administration role
- Good working knowledge of Saudi Employment Laws
- Fluent in both English and Arabic is mandatory
- Fluency in Microsoft Office and PC usage
- Customer service focused
- Strong written communication and presentation skills
- Ability to interact effectively at all levels
- Strong organizational and time management skills
- Ability to manage multiple priorities and meet critical deadlines
- Ability to identify opportunities for improvement, develop action plans and implement solutions
- Ability to handle confidential information
- Excellent attention to details
- Results-oriented, adaptable with proven drive & follow-through in a fast paced environment
- Demonstrated initiative and ability to work independently, as well as in a team set-up
- Problem solving skills balanced with creativity
